Summary: This is an Admin I level position. This person will play an important role for AIT as the front desk receptionist and security monitor, while also assisting in important administrative tasks such as material tracking, accounts payable, visitor vetting, conference room scheduling, etc.
Essential Duties & Responsibilities:
Monitor security cameras and building safety systems
Sign in and clear domestic and foreign visitors in the OCR system
Maintain calendars for the conference rooms
Maintain calendars for the afterhours on-call list
Track incoming and outgoing materials for Micross
Assist in various accounting tasks like accounts payable, creating expense reports, etc.
Assist in other administrative tasks like scheduling interviews, creating signs, labels, forms, etc. for the building common areas and labs
Write and maintain building procedures

Comply with all quality and ITAR policies, practices and procedures
Build meaningful and productive relationships with internal business partners, building tenants, and visiting customers

Protect confidential information by not communicating, disclosing to, or using for benefit of 3rd parties
Maintain the highest degree of honesty and integrity at all times
Perform other duties as assigned
Working knowledge of Microsoft Office software
Past administrative experience in accounting, HR, or other admin role with a demonstrated ability to keep organized and detailed records
Due to export control rules, must be a US citizen or US permanent resident.
- Excellent verbal and written communication skills are a must. This position is the interface to any external visitors to the building, as well as external phone calls. This position will also interface with all levels of internal business partners and tenants in the building.
- Attention to detail is a must because this position will need to create and follow procedures surrounding ITAR regulations, QA systems, and building safety procedures.
Willingness and ability to learn new skills and new software. This position will require heavy use of the computer and multiple, specialized, software packages that span building monitoring systems to accounting systems.
